For most small businesses, AI takes over tasks rather than jobs - the typing, sorting, chasing and summarising that nobody enjoys. That frees people for customers, judgement and the work that needs a human. It will change some roles, so it is important to be open with your team and help them build new skills.
It depends on which version you use. Business plans (such as ChatGPT Business, Claude Team, Gemini in Google Workspace and Microsoft 365 Copilot) and the providers' APIs do not use your data to train their models by default. Free and personal accounts may. We also minimise and pseudonymise personal data wherever possible. See our page on Sensitive Data and AI.
There is no single best one. If you use Microsoft 365, Copilot is a natural starting point; if you use Google Workspace, Gemini. Claude is excellent for writing and long documents, and ChatGPT has the widest range of features. Many businesses use more than one. See Choosing an AI Provider.
Business AI subscriptions are typically around £16 to £30 per user per month. Custom tools are charged by usage and are often surprisingly cheap to run - a website chatbot can handle 1,000 conversations for a few pounds. See The Cost of AI for current prices and examples.
Start with one repetitive, time-consuming task, check whether tools you already pay for can help, and run a small pilot to measure the benefit. Our 5 Phases of AI Implementation explain the approach.
Yes. AI can "hallucinate" - state incorrect information confidently. That is why we build in checks, keep people responsible for important decisions, and train staff to review AI output before it is used.
It is good practice to tell people when they are talking to a chatbot or AI voice agent, and to mention AI in your privacy notice if it processes personal data. For businesses trading with the EU, the EU AI Act makes some of this a legal requirement. See AI Regulation in the UK.
Yes. Open-weight models such as Llama, Mistral, Gemma and gpt-oss can run on your own computer or server, so data never leaves your premises. They are ideal for very sensitive information, though they need suitable hardware and some maintenance.
An AI agent is AI that can take actions as well as answer questions - for example replying to an enquiry, adding it to your CRM and booking a call. Agents work within limits you set, with a person approving anything important. See AI Agents & Automation.
No. Everyday AI tools are designed for anyone to use, and we handle the technical set-up for custom tools and agents. A short training session makes a big difference to how much value your team gets from AI - see AI Training & Workshops.
